Stop Typing the Same Things! Save Hours with TextExpander (Part 1)

A split-screen comparison showing a frustrated man typing manually on a keyboard versus a smiling professional comfortably using TextExpander with a speech bubble displaying the shortcut ";thanks".

Hello, productivity enthusiasts! Pat Harrington here from Learns You Good, and today we’re diving headfirst into a tool that has literally saved me hundreds, if not thousands, of hours over the past decade: TextExpander. This guide is a TextExpander tutorial for beginners to help you get started quickly and make the most of this powerful tool.

If you find yourself repeatedly typing the same email addresses, phrases, paragraphs, or even entire emails, you’re about to have your mind blown. Imagine turning a 5-minute typing task into something that takes less than a second. No, that’s not magic – it’s smart automation, and it’s easier than you think!

The “Magic” Email Trick You Just Saw

In the video above, you saw me “magically” generate a complete, multi-paragraph workshop follow-up email just by typing ;thanks. Seriously, that’s all it took! Instead of digging for links, recalling action items, and typing out a lengthy thank-you, TextExpander instantly spat out a perfectly formatted, professional message. That’s the power we’re talking about!

What is TextExpander and Why You NEED It

At its core, TextExpander is a productivity application that allows you to create “snippets.” A snippet is essentially a shortcut (or “abbreviation”) that, when typed, expands into a much larger block of text, code, or even commands.

Why is this a game-changer for your workflow?

  • Massive Time Savings: The most obvious benefit. Those few seconds here and there add up to hours each month. TextExpander even tracks your saved time for you!
  • Consistency: Ensure your team (or just your own messaging) always uses the correct phrasing, branding, and links.
  • Error Reduction: Eliminate typos in frequently used words, email addresses, or complex technical terms.
  • Focus: Spend less mental energy on repetitive typing and more on creative or critical thinking tasks.

Getting Started: Installation & Pricing

While I already have TextExpander installed, I walk you through the initial steps in the video. The installation process is straightforward on both Mac and Windows. You can even find versions for iPhone and a Chrome browser extension!

Is there a cost? Yes, but it’s incredibly minimal for the value it provides. At just $3.33 a month (at the time of recording), it’s one of the best investments you can make in your personal or professional productivity.

Your First Steps: Creating a Snippet

In the video, I guide you through creating your very first powerful snippet: our “Thank You for Attending” email. Here are the key takeaways:

  1. Organization is Key: TextExpander lets you create “groups” to categorize your snippets (e.g., “Client Emails,” “Personal,” “Website Links”). This keeps things tidy as your snippet library grows.
  2. Rich Text vs. Plain Text: For most emails and documents, “Rich Text” is your friend, allowing for formatting like bold, italics, and bullet points.
  3. The Abbreviation: This is your trigger! I highly recommend using a prefix like a semicolon (;), comma (,,), or asterisk (*) to prevent accidental expansions. For example, instead of just thanks, I use ;thanks.
  4. Beyond Just Text: Keyboard Commands! This is where it gets really cool, even for a “basics” video. I show you how to insert a TAB command into your snippet, which is incredibly useful for automatically jumping to the next field in an email client or form.

The Challenge: Create Your First 3 Snippets!

I challenge you to identify three things you type often throughout your day and turn them into TextExpander snippets. Start simple:

  1. Your full email address (e.g., ;myemail expands to patrick@learnsyougood.com)
  2. A common phrase you use in emails (e.g., ;followup expands to “I’ll follow up with you next week.”)
  3. Your full mailing address or phone number (e.g., ;myaddress or ;myphone)

Let me know in the comments below what snippets you’re creating and how much time you think they’ll save you!

What’s Next in the Series?

This is just the tip of the productivity iceberg! In upcoming videos, we’ll dive into more advanced features like:

  • Dynamic Placeholders: Automatically insert dates, times, and even have TextExpander prompt you for information (like a client’s name!)
  • Nested Snippets: Build complex snippets using other snippets for ultimate flexibility.
  • Sharing with Teams: How TextExpander can boost your entire team’s efficiency.
